# Sending entries by e-mail to your team

The **Email** target sends the entries of a pipeline as one digest mail to
members of your workspace, for example "new trade-fair leads for the sales
team". The mail lists each contact with a link to a contact card, and a
button to view and download all entries.

## Set it up

1. On the Pipelines page, click **New pipeline** and choose **Email**
   ("Digest mail with links to members of your workspace").
2. Under **Recipients**, tick the workspace members who should get the mail.
   You are preselected; up to 50 recipients.
3. Optional: enter a **Subject**. Left empty, it reads "12 new entries in
   “(pipeline name)”". Your own subject can use the two placeholders shown
   under the field, for the number of entries and the pipeline name.
4. Optional, under **Data & advanced settings**: choose the **Fields for
   overview and download**. The mail itself always shows only name ·
   position · company.
5. Click **Create pipeline** and send a test (see below).

## What recipients get

Each click on **Send** or **Send all** creates **one** mail with all the
selected entries (up to 1,000; anything beyond stays waiting for the next
send). It comes from ListPlus <notifications@listplus.ai>, in the language
of the person who clicked Send. All recipients are on the same mail and can
see each other's addresses.

For every entry the mail shows name · position · company with:

- a link to a **contact card** that shows the contact's current data from
  ListPlus, and
- **Open in ListPlus**, which opens the record in the app for signed-in
  members.

The button **View all & download** opens an overview "(number) entries from
“(pipeline)”" with **Download: XLSX · CSV · JSON**, containing the fields
you chose.

## The links are public for 30 days

Contact cards and the overview open **without a login** for anyone who has
the link, and show the **full contact** as it currently is in ListPlus (not
only the fields you selected). They stay valid for **30 days after
sending**. The mail says so in its footer: "The links show the current data
and stay valid for 30 days. Forwarding this mail shares the links." If a
record was deleted in the meantime, its card shows "This entry is no longer
available".

To stop the links early, delete the pipeline (or the whole workspace);
that ends every link it sent. Removing a member from the workspace doesn't
end links they already received.

## Recipients must be members

Only current members of the workspace can be recipients. Membership is
checked again at every send: a person who left shows "No longer a member –
deselect", and the send fails until you deselect them.

## Errors

- **Recipient blocked (bounce/spam complaint)** — one recipient's address
  bounced or marked a mail as spam earlier. Because it is one mail, the whole
  send fails and all its entries show as failed. Remove that recipient and
  send again.
- **Too many mails at once – try again in a moment.**
- **The mail was rejected.** / **The mail could not be sent.** — send again
  later.

## Test and cost

**Test connection** on the Flow tab sends a test mail with a real record
**only to you**, with "[Test]" in front of the subject. The Email target
is free: no credits, on every plan. After a send, the History shows
"Mailed to (number) recipients".

## FAQ

### How do I e-mail new leads to my team from ListPlus?

Create a pipeline with New pipeline, choose Email, tick the recipients from your workspace and save with Create pipeline. Add records to it with Add → Send to pipeline, then click Send: everyone selected gets one digest mail with all the entries.

### Can I send the pipeline mail to people outside my workspace?

No, recipients can only be current members of the workspace, up to 50 per pipeline. To reach someone else, invite them to the workspace first, or forward the mail (which shares its links).

### What is in the pipeline e-mail?

One mail per send with every entry as name · position · company, each linked to a contact card and to Open in ListPlus, plus a View all & download button. There are no attachments; a single mail carries up to 1,000 entries, and any beyond that wait for the next send.

### Can I change the subject of the pipeline mail?

### How do I download the entries as Excel, CSV or JSON?

### Do recipients need to log in to open the contact links?

No, the contact cards and the overview open without a login for anyone with the link, and they show the full, current contact from ListPlus, not only the selected fields. Only Open in ListPlus requires signing in as a workspace member.

### How long do the links in a pipeline mail work?

30 days from sending. After that, or if the pipeline or workspace is deleted, the links stop working; a record deleted in the meantime shows "This entry is no longer available".

### What happens if someone forwards the pipeline mail?

Forwarding shares the links: whoever receives the forwarded mail can open the contact cards and the download page for the rest of the 30 days. Forward only to people who may see this contact data.

### How do I stop the links in a mail I already sent?

Delete the pipeline (owners and admins); that ends every link it sent. Removing a member from the workspace does not end links they already received.

### Can recipients see who else got the pipeline mail?

Yes, all recipients are on the same mail, so each one sees the others' addresses. Use a separate Email pipeline if some people should get their own mail.

### What does "Recipient blocked (bounce/spam complaint)" mean?

One recipient's address bounced before or reported a mail as spam, so mail to them is blocked. Because every send is one shared mail, the whole send fails and its entries show as failed; deselect that recipient and click Send again.

### Where does the test mail of an Email pipeline go?

Only to you, the person who clicks Test connection, with "[Test]" in front of the subject and one real record. The chosen recipients get nothing until you send real entries.
