Search, filter, sort, and find & replace
Header search#
Type into Find & evaluate in the list header (just "Find" on narrow windows) — typing alone doesn't filter yet. Press Enter, or click the suggestion that appears, and the grid narrows to rows matching that text in any visible column; committing a search also clears any active sublist, Changes filter or check selection. The same field also picks a campaign-ready evaluation; see campaign-ready-evaluations.
Column filters and sort#
Click the funnel icon in a column header to filter that column: a checkbox list of its values for text and lookup columns, a number range for numeric columns, a date range for date columns. Click a column header to sort ascending, click again for descending, a third click removes the sort, and shift-click another header to add a second-level sort on top of it.
View chips#
The status bar at the bottom always shows All (your whole list); Filtered, Selection and Changes appear only while a filter, a selection or open AI suggestions exist: Filtered shows the count currently shown after a search or column filter (informational only, not clickable), Selection (click to show only your ticked rows), and Changes (click to show only rows with open AI suggestions — see saving-is-manual). Click All to go back to showing everything.
Find & replace#
Click the swap icon at the right end of the Find & evaluate field, or choose Find & Replace in Commands (⌘K), to open Find & Replace — on narrow windows the icon is hidden, so use Commands instead. ⌘F / Ctrl+F jumps to the Find & evaluate field. Step through matches with the arrows, toggle Match Case or Match Entire Cell, optionally narrow to specific columns, then Replace one match or Replace All. Replace All only touches the rows currently visible after any active filter or search, and only the columns you've picked (or every column holding your own data if none are picked); there's no regular-expression support — special characters are matched literally — and no preview step. On lists you can only view, Find works but the Replace row is hidden.
FAQ#
How does the search field in the header work?#
Type into Find & evaluate in the list header and either press Enter or click the suggestion that appears — typing alone doesn't filter yet. Once you commit, the grid narrows to rows matching that text in any visible column.
How do I filter a single column?#
Click the funnel icon in that column's header. Text and lookup columns show a checkbox list of their values, numeric columns give you a range, and date columns give you a date range.
How do I sort by a column?#
Click the column header to sort ascending, click again for descending, and a third click removes the sort. Shift-click another header to add it as a second-level sort on top of the first.
What do the All, Filtered, Selection and Changes chips in the status bar mean?#
All always shows your whole list; Filtered, Selection and Changes only appear while a filter, a selection or open AI suggestions exist. Filtered shows the count after a search or column filter (informational only), and clicking Selection or Changes narrows the grid to just your ticked rows or just the rows with open AI suggestions; click All again to go back to showing everything.
How do I find and replace text across my list?#
Click the swap icon at the right end of the Find & evaluate field, or choose Find & Replace in Commands (⌘K) — on narrow windows the icon is hidden, so use Commands instead. ⌘F / Ctrl+F jumps to the Find & evaluate field rather than opening Find & Replace. Step through matches with the arrows, toggle Match Case or Match Entire Cell, then Replace one match or Replace All.
Which rows and columns does Replace All change?#
Only the rows currently visible after any active filter or search, and only the columns you've picked in the column selector — leave it empty to cover every column holding your own data. Internal system columns aren't offered.
Does Find & Replace support regular expressions or show a preview first?#
No — special characters in your search term are matched literally, not as a pattern, and there's no preview step before Replace or Replace All applies. Check your column selection and active filter before using Replace All on a large list.
