Workspace roles and permissions

Every person in a workspace has one of three roles: Owner, Admin or Member. The role decides who manages the workspace and its lists. The day-to-day work (editing, enriching, AI, import, export) is open to everyone.

The three roles#

  • Owner: exactly one per workspace. Pays for the workspace with their plan and credits, and is the only one who can delete the workspace, transfer it, or make a list public.
  • Admin: manages the team and the workspace's lists, pipelines and API connections, but doesn't pay and can't delete the workspace.
  • Member: works on all lists and contacts in the workspace, and can invite colleagues as members.

Creating, renaming and deleting projects is open to every member.

Every member can leave a workspace; the owner has to transfer it first.

Change someone's role#

  1. Open the workspace menu (workspace name in the Home header) → Members & invites.
  2. Under Members, pick Member or Admin in the dropdown next to the person.

The owner's role can't be changed there. To hand over the owner role, use Transfer ownership (see "Leave, remove, transfer or delete a workspace").

Connected accounts#

When someone connects an app (for example HubSpot or Google Sheets), the connection belongs to the workspace: everyone on the team can use it, and actions run in the name of the person who connected it. The owner, an admin or the person who connected it can disconnect it.

What roles are there in a workspace?#

There are three: Owner, Admin and Member. The owner pays with their plan and credits and alone can delete or transfer the workspace and make lists public. Admins manage members, lists, pipelines and API connections, and members do the everyday work on lists and contacts.

What can a member do in a workspace?#

Members can edit rows, enrich, run AI commands, import and export, and use Saved, the Inbox, AI Research and the Block List. They can add and send pipeline entries and invite colleagues as members. They can't delete, duplicate or move lists, set up pipelines or API connections, or change roles.

What can an admin do that a member can't?#

Admins can invite people as admins, change roles, remove members, rename the workspace, delete, duplicate and move lists, and create or change pipelines and API connections. They can't delete or transfer the workspace, make a list public, or buy credits for the workspace. Those belong to the owner.

What can only the owner do?#

Only the owner can delete the workspace, transfer ownership and make a list public or private. The owner's plan and credits pay for everything in the workspace, so only the owner can buy credits or upgrade for it.

How do I make someone an admin?#

Open the workspace menu in the Home header → Members & invites and choose Admin in the dropdown next to the person under Members. Only the owner and admins see this dropdown. You can switch an admin back to Member the same way.

Why can't I set up a pipeline?#

Only owners and admins create and change pipelines, and the Pipelines page says so for members. As a member you can still add entries to existing pipelines and send them.

Can there be more than one owner?#

No, every workspace has exactly one owner, because the owner's plan and credits pay for it. Add more admins to share the management work, or transfer ownership to someone else.
