List forms: collect contacts with your own form

Every list can have its own form: a small public page whose fields are columns of the list. You send its link around or embed it in your website, and what people enter lands in the list — in the right columns, with duplicates merged, ready for the list's checks, triggers and pipelines. You don't need a separate form tool. It is free on every plan and uses no credits.

A form is for people who type their details themselves. If a tool sends the records (Typeform, Zapier, n8n, your own code), use the list's webhook instead — see "List webhooks: receive records from forms and tools".

Creating the form#

A list has at most one form. Anyone who can edit the list can create it:

  • In the list: click the Set up icon next to the list's name (the two sliders) → Form. Opening the section creates the form as a Draft.
  • On a list without records: the card Form — Collect with a form (Create form) opens the same section.

The draft starts with the fields that matter most, as far as the list has columns for them: E-mail (required), First name, Last name and Company. On the right, Preview shows the form exactly as your visitors will see it; every change shows there at once and saves by itself.

A reference list that is refreshed from its source takes no data and has no form.

Draft, Test, Publish#

Next to the heading you see the form's state and its actions:

  • Draft — the form exists but is not public. Its link shows visitors that the form is closed.
  • Test opens the draft in a new tab, for you only. What you send there lands in your list like a real entry, so you can try the whole way.
  • Publish makes the form public. The Share card appears at the top with the link and the embed code.
  • Published — Open shows the public form, Pause closes it: the link stays, visitors see that the form is closed. Publish again opens it.

Changes you make after publishing are live at once.

Sharing it#

The Share card (after publishing):

  • Link to the form: copy it and send it by e-mail, post it, or turn it into a QR code.
  • Embed in your website: copy the code and paste it where the form should appear. The embedded form adjusts its height by itself and has no page background of its own.
  • Where an entry came from: add ?source=… to the link (for example ?source=newsletter or ?source=booth-qr); utm_source, utm_medium, utm_campaign, utm_term and utm_content work the same way. The value is kept with the record — in a column of that name if the list has one. An embedded form reads these from the address of the page it sits in, and also keeps that page's address as page.

What should visitors fill in?#

Each field fills one column of the list. The card lists the fields with Required or Optional. Click a field (or ⋯ → Edit field) to change its label, its kind — Text, Long text or Choice (type the choices separated by commas) — and whether it is required. The ⋯ menu also moves a field up or down and removes it.

+ Add field offers the list's other columns, or New column …, which creates the column in the list and adds it to the form in one step. A form has at most 20 fields.

The fewer fields, the more people complete a form. Ask only what you need from the person — enrichment can add company, job title and more later.

If a column is deleted or renamed later, the field stays in the form and shows "The column … no longer exists"; what people enter there is kept with the record instead of in a column.

What does the form say?#

Look#

  • Match my website: enter your website's address and click the button. ListPlus reads the accent colour, background, text colour, the corners of your buttons and your logo, and picks the one of its fonts that comes closest to yours. It is a suggestion: check the preview and adjust what doesn't fit. Your website's own font files are not copied or loaded.
  • Ready-made designs: Light, Dark, Warm, Fresh.
  • Adjust colours and font: accent colour, background, text colour, font (System, Inter, Poppins, Nunito, Lora), corners, and the address of a logo image.

The fonts are served by ListPlus itself; a form loads nothing from a font service.

Privacy#

What a form has to say about data protection depends on the country and on what you do with the entries, so you choose:

  • Show a privacy notice (on by default) — a line of text under the fields, with a link to your privacy policy if you enter one. Untick it for no line at all.
  • Visitors must agree (required checkbox) — the visitor has to tick a box before sending. The record then keeps consent: yes and the time (consent_at).

You can change the text. ListPlus does not give legal advice; if you are unsure what your form needs, ask your legal counsel.

What happens to an entry#

An entry goes the same way as a record sent to the list's webhook:

  • It lands in the list. If it matches an existing record (e-mail, LinkedIn, phone, name + company), it fills that record's empty fields instead of adding a duplicate.
  • The list's checks, triggers and pipelines run for it like for any new record.
  • Under More settings → Check conspicuous submissions first you can have invalid, disposable and test addresses, or spam and test entries (AI check), wait in the Inbox for your decision instead. Both are off by default. Matches of your Block list and entries the list can't take (plan limit) are always held there.
  • A hidden trap field catches simple bots: what fills it is dropped silently.

Recent submissions at the bottom of the section shows what came in.

Limits#

  • Entries count against the same daily limit as the list webhooks of your workspace: 100 a day on Basic, 5,000 on Pro, 50,000 on Premium. When the limit is reached, the form tells visitors it is closed at the moment; it opens again the next day (UTC).
  • One visitor can send a form 5 times a minute.
  • "Powered by ListPlus" is shown under the form on Basic; on Pro and Premium you can switch it off under More settings.

More settings#

  • Language of the form (English, German, Spanish): a new form starts in the language you use ListPlus in. Switching it changes the notes the form shows by itself ("Please fill in this field") and every text you haven't changed — heading, button, thank-you text, consent text and the labels of the standard fields. What you wrote yourself stays as written.
  • Open your own thank-you page: visitors go to this address after sending instead of seeing the thank-you text.
  • Check conspicuous submissions first and Show "Powered by ListPlus" — see above.
  • Delete form removes the link, the embedded form and the settings. The records in the list stay.

FAQ#

Can I create a form in ListPlus without a separate form tool?#

Yes. Every list can have its own form: in the list, click the Set up icon next to its name and open Form — a draft with E-mail, First name, Last name and Company (as far as the list has these columns) is ready. Click Publish and share it as a link or embed it in your website; it is free on every plan and uses no credits.

How do I share a list form or put it on my website?#

Yes. Under Look, enter your website's address and click "Match my website": ListPlus suggests its accent colour, background, text colour, corners and logo plus the closest of its fonts, which you check in the preview. You can also pick a ready-made design (Light, Dark, Warm, Fresh) or set everything by hand under "Adjust colours and font".

Does a list form use my website's font?#

It uses the closest of ListPlus's own fonts (Inter, Poppins, Nunito, Lora or the system font), which ListPlus serves itself. Your website's font files are not copied, and the form loads nothing from a font service.

Can I remove "Powered by ListPlus" from a list form?#

On Pro and Premium, yes: switch it off under More settings in the Form section. On Basic the line is always shown.

How do I pause or delete a list form?#

Pause, next to the section's heading, closes a published form: the link stays and visitors see that the form is closed; Publish again opens it. "Delete form" under More settings removes the link, the embedded form and its settings; the records in the list stay.

Can a list have more than one form?#

No, a list has one form. To tell several places apart — your website, a newsletter, a booth — use the same form with a different ?source=… at the end of the link.
